Description The Payroll Director is responsible for the administration, accuracy, and timeliness of the Institute's payroll and directing the daily activities related to the processing, auditing, analyzing and reporting of the Institute's payroll processing. The role will oversee processing of approximately 3,000 employees including full time and part time faculty and staff in addition to student employment. Must oversee 140+ payrolls each year. This position coordinates and provides leadership for the Institute payroll including, but not limited to, taxes, garnishments, reconciliations, controls, payroll balancing, and paycheck distribution. Work closely with the HRIS administrators for UKG Ready, our time and attendance platform. Work closely with the benefits administrators in regards to the UKG Ready benefits module. This person should also be able to problem solve and manage the department needs in addition to coaching others and improving overall efficiency. This role will report to the Controller. Examples of Duties Directly supervises a payroll staff of four payroll specialists. Coordinates with the appropriate department staff to ensure the timely processing of the various payrolls; weekly, bi-weekly, semi-monthly, and monthly payrolls. Oversees that the payroll staff processes scheduled and unscheduled payrolls timely and accurately. Reviews in detail payroll processing before transmitted to UKG Ready for completeness and accuracy by reviewing the following:
Responsible for the accurate calculation of the yearly administrative salary increase approved by the Board of Trustees for exempt administrators and non-exempt administrators. Responsible for the accurate calculation of the yearly union salary increases for full and part time faculty, clerical and technical staff, security and facilities management staff based on contractual agreements. Recommends and assists in developing and implementing new and/or revised policies and procedures to ensure efficient processing of the payroll. Maintain system Administrator right for UKG Ready to ensure overall payroll processing is completed as intended based on the system's performance. Work closely with Pratt's Technology department to implement various policies and procedures to ensure payroll data integrity. Assist with the yearend in reviewing and approving all accrual and reversal procedures. Assist with all union audits upon request. Assist HR and the Controller's office in reconciling the 403b data in preparation for the annual audit. Reconciliation of payroll processing to the general ledger on a monthly basis to ensure all outstanding items are reconciled with the accounting team. Review and reconcile 941 reports and other payroll related analysis. Reconcile W-2 information to 941 and W-3 reports. In coordination with the accounting department, assists with the preparation of monthly payroll bank reconciliation and makes necessary adjustments. Assist Accounting and HR with periodic analysis and reconciliation of general ledger payroll accounts including but not limited to payroll accounts payables, withholding for taxes, TIAA annuity, SRA, union dues, and medical insurance contributions and all other deductions. Oversees the reconciliation of benefit premiums and payroll deductions such as child support orders, garnishments, GTL, health insurance for employee and employer, dental, life insurance, taxes, and retirement. Provides information, assistance and/or training for UKG Ready administrators when needed. Assist the HR trainer to make sure all material is covered in UKG Ready training provided to the Pratt community. Qualifications Education: Bachelor's degree in business administration, accounting or a related field. Experience: Minimum of 5 years payroll experience, higher education a plus.
